How to Request SharePoint Access

Overview


SharePoint is the company's document storage and collaboration platform within Microsoft 365. This article explains how to request access to SharePoint sites, folders, and team sites for both internal and external users.


Types of SharePoint Access


Project Team Sites – SharePoint sites associated with specific construction projects (e.g., Greenwater, Corazon, Sunbelt). Access is typically granted to employees assigned to those projects.


Department Sites – Shared document libraries for departments such as HR, Engineering, Procurement, Accounting, and EHS.


Affordable Solar Commercial SharePoint – For Affordable Solar team members who need access to commercial project documents.


How to Request SharePoint Access


Submit a helpdesk ticket with the following information:

- Your full name and email address

- The name of the SharePoint site or document library you need access to

- The level of access required (read only, edit, owner)

- The name of your manager or project lead for approval


Typical turnaround time: 1 business day.


Requesting Access for a Team or Multiple Users


If multiple employees need access to the same SharePoint site (e.g., a new project team), submit a single ticket listing all users, their email addresses, and the required access level.


SharePoint File Recovery


If you accidentally deleted a file in SharePoint, it may be recoverable from the Recycle Bin. Check the SharePoint Recycle Bin first (accessible from the left sidebar in SharePoint). Files are retained for 93 days after deletion.


If the file is not in the Recycle Bin, submit a helpdesk ticket and IT may be able to restore it from backup.


Connecting SharePoint to Other Systems


SharePoint can be linked to tools like Haystack and AutoCAD Vault. If you need a SharePoint folder connected to another business system or need help setting up a Teams link to a SharePoint library, submit a helpdesk ticket.


Sharing Files with External Parties


Sharing SharePoint files with people outside the organization requires IT approval. Do not share SharePoint links directly with external users without first consulting IT, as this can expose sensitive company documents.
