How to Request Procore Access

Overview


Procore is the primary project management platform used by Gridworks. This article explains how to request access to Procore projects, what types of access are available, and how to add external users (subcontractors, clients, engineers).


Types of Procore Access


Internal Access – For Gridworks employees who need to view or manage project documents, RFIs, submittals, drawings, and meetings within a project.


External User Access – For subcontractors, clients, engineers, or other third parties who need limited access to a specific Procore project.


Project Activation – For new projects that need to be created and made active in Procore.


How to Request Internal Procore Access


Submit a helpdesk ticket with the following details:

- Your full name and email address

- The specific project(s) you need access to

- The level of access required (view only, standard user, admin)

- The name of your manager or project manager for approval


Typical turnaround time: 1 business day.


How to Add an External User (Subcontractor / Client)


External users must be invited by a Gridworks employee. To add an external user to a project:

- Submit a helpdesk ticket with the external user's full name and email address

- Specify which project(s) they need access to

- Specify what tools they need access to (e.g., RFIs, Submittals, Drawings, Meetings)

- Confirm that your project manager has approved the access


Note: External users will receive a Procore invitation email. They must accept the invite to gain access.


Procore Access Issues


If you are unable to log into Procore, receive an error message, or find that a project is missing from your dashboard, submit a helpdesk ticket describing the issue. Common problems include:


- Account not yet activated: Allow up to 1 business day after the invite is sent

- Wrong email address used: Ensure you are signing in with your work email

- Project not visible: You may need to be added to the specific project – contact IT

- Download errors (Procore Drive): Ensure Procore Drive is installed; reinstall if needed


Procore Drive Installation


To sync Procore files to your local computer, Procore Drive must be installed. Submit a helpdesk ticket if you need assistance installing or reinstalling Procore Drive.
